👥 Introducing Personas: plan by job function, assign by person

You can now assign work to Engineer, QA Analyst, or another Persona before deciding who will do it. Keep work assigned to a Persona while it waits for a person, then add someone who can fulfill that role.

To get started:

1. Open Configure Settings → Organization → Personas and create your Personas.
2. In Organization → Users, give each person their Personas and put their usual one first.
3. Open Choose Assignee on an item and choose a person, a Persona, or both.

The two choices stay compatible. Assigning a person preserves the selected Persona if they hold it; otherwise their first active Persona is used. Choosing a Persona the current assignee does not hold clears the person and keeps the Persona. Personas describe work; they do not change access permissions.

Use the Persona filter to find that work, show Personas in item tables and Gantt, or choose Persona for either axis of a 2D board. Automations and API/MCP integrations support Persona assignments too.

Report by the work people performed. In User Time Tracking, group by Persona to see Persona totals first. Expand a Persona into user rows, then into individual time details. The Time Allocation Matrix also supports Persona rows, and current workload and capacity follow the chosen Persona with a first-Persona fallback. Multiple memberships do not multiply totals.

Recorded time keeps its original Persona even if assignments change later. Older time without that information stays Unspecified.

✅ Complete a Story's child work automatically

When a Story reaches Complete, an automation can now complete its direct child items, subtasks, or both. This supports workflows such as closing the QA work attached to a finished Story without automatically closing its maintenance project.

Choose Status Changed, add Item Type = Story, and select Complete Child Items or Subtasks. Children use the Done status from their own workflow. The action works independently of the organization's Automate New/Done setting; leave that setting off if you do not want upward completion.

🧹 Reminder: keep perpetual boards focused

Already introduced in the September 11 update, Item Stays Done on Board lets you remove an item from a board, or move it elsewhere, after a chosen number of hours or days in Done. Checks run hourly and apply to items completed after the rule is enabled. The item and its history remain in its workstream.

Archived boards and board folders can also be permanently removed while retaining their work items.
