Formatting Rules

Make items in chosen statuses stand out everywhere: a red, struck-through title and an X on the item icon, so cancelled work reads as cancelled on every screen.

Formatting Rules change how item titles look across your whole organization, based on the item's status. The first rule, Strikethrough Style for Statuses, marks work that will not be done. Pick a status such as Cancelled, and every item in it shows its title in red with a line through it, and an X on its item icon.

Without it, a cancelled item looks like any other item, or like finished work when its status counts as done. With it, nobody mistakes cancelled work for open or completed work, whichever screen they are on.

Where to find it

Configure Settings → Organization → Formatting Rules. The page needs the Configure Organization permission (MANAGE_ORG_CONFIGURATION), held by the default Owner and Admin roles. Changes save as you make them; there is no Save button.

Strikethrough Style for Statuses

Under the Item Style heading:

  1. Click the status list to the right of Strikethrough Style for Statuses, tick the statuses that should be struck through (for example Cancelled), and click Select.
  2. Tick the Strikethrough Style for Statuses checkbox to turn the rule on.

While the rule is on, every work item whose status is in the list shows:

  • its title in red with a strikethrough, and
  • an X on its item icon. The X replaces the checkmark a completed item normally shows, because a status like Cancelled usually also counts as done. Hover the icon to see the status name.

This applies wherever an item's title appears: the Items table and every list built on it (My Work, board list views, an item's child items), board cards, the Map Value view, Track Progress (the name column and the label on each bar), the item drawer header, search results and the Cmd/Ctrl + K search, relationship lists and item link previews.

Good to know:

  • The rule is off by default. Nothing changes for your organization until an admin turns it on and picks at least one status.
  • Turning the checkbox off removes the style everywhere at once and keeps your chosen statuses for next time. Removing every status from the list has the same effect.
  • Changes show immediately on screens that are already open; nobody needs to reload.
  • It only changes how items look. Items keep their status, reports count them as before, and automations are not affected.
  • Workstreams have no status, so they are never struck through.
  • Search results show each item as it was when the search ran. If an item's status changes while results are open, run the search again to see the new style.
